This page explains the exact process and criteria we use to research, compare, and rank HVAC software on this site. We publish our methodology so you can judge for yourself how much weight to give our recommendations.
Our Approach
We are not a software company, and we don’t sell HVAC software ourselves. Our evaluations are based on structured research — not first-hand experience running an HVAC business — and we’re upfront about that distinction. What we bring is consistent, side-by-side comparison across the same criteria for every product we cover, which is hard to do on your own when you’re busy running a business.
Where Our Information Comes From
For every software product we cover, we gather information from:
- Official pricing pages and plan comparisons published by the provider
- Product documentation, help centers, and feature lists
- Publicly available demo videos and product walkthroughs
- Verified user reviews on independent platforms (e.g., G2, Capterra, Software Advice)
- Integration and app marketplace listings (e.g., QuickBooks App Store)
When information isn’t publicly available or can’t be verified — such as custom enterprise pricing — we say so explicitly rather than guessing.
What We Evaluate
Every HVAC software product is assessed against the same core set of criteria, so comparisons stay consistent across the site:
| Criteria | What We Look At |
|---|---|
| Pricing & Plans | Starting price, plan tiers, free trial availability, hidden fees |
| Dispatch | Real-time dispatching, GPS/technician tracking, drag-and-drop scheduling |
| Scheduling | Calendar views, recurring jobs, online booking options |
| CRM | Customer history, communication logs, marketing/follow-up tools |
| Estimating | Templates, flat-rate pricing support, speed of estimate creation |
| Invoicing | Invoice creation, payment collection, recurring billing |
| Field Service Management | End-to-end job tracking from lead to payment |
| Mobile App | Technician-facing app functionality, offline access |
| Integrations | QuickBooks, payment processors, calendar, marketing tools |
| Ease of Use | Onboarding time, interface clarity, learning curve |
| Business Size Fit | Suitability for solo contractors through large multi-crew operations |
How We Score and Rank
We don’t use a single hidden formula to generate rankings. Instead, we weigh these criteria based on what matters most for a given comparison or «best of» list — for example, a «Best HVAC Software for Small Business» article weighs price and ease of use more heavily, while «Best HVAC Software for Large Companies» weighs scalability and integrations more heavily.
Where relevant, we indicate who a product is best for and who should consider a different option, rather than presenting a single winner as universally «best.»
What We Don’t Do
- We don’t accept payment to include a product in a roundup or to rank it higher.
- We don’t let advertising relationships (Google AdSense) influence which products we cover or how we rank them.
- We don’t claim hands-on operational experience running HVAC jobs — our expertise is in researching and comparing the software itself.
- We don’t publish pricing or features we can’t verify through official sources.
Keeping Reviews Current
HVAC software changes often — pricing updates, new features, and discontinued integrations are common. We periodically re-check pricing and features on our comparison pages and note a «pricing checked» or «last updated» date on articles that cover this kind of detail. If you find something outdated, we want to know — see below.
Report an Error or Outdated Information
If you work for one of the software companies we cover, or you’re a user who’s noticed something inaccurate, please reach out through our Contact Us page with details. We review correction requests and update verified errors as quickly as possible.
